Grupo Cars is a Spanish group of companies in the automotive sector that offer their customers a wide selection of new and used cars. From its Madrid offices in Leganés, Alcorcón and Majadahonda they provide all after-sales support for vehicle servicing and their customers’ requirements. They also include vehicle sales services (Mazda, Hyundai, MG, Aixan and second hand vehicles). They currently have more than 145 employees working at the central offices, repair garages and the group’s various dealerships.

The challenges
Grupo Cars has several companies that belong to the same group, posing a challenge for the HR department, which needed a tool to integrate all employees into the same solution. They also needed to improve internal communication processes and establish a single point of contact. Similarly, each company within the group used different clocking-in software and there was no centralised system from which to view absences.

Centralised communication thanks to workflows
Using Kenjo’s workflows function, Grupo Cars can now send communications to all group employees with just a couple of clicks. In this way, the HR department can upload files or notices to the document section and each worker automatically receives an email notification. Likewise, employees’ business cards are an agile tool to view all centralised information and add the necessary documentation in each case. All this has meant a significant improvement to communication throughout the group and has led to extensive time savings for the HR department.
A consolidated clocking-in and holiday management system
With Kenjo, Grupo Cars employees use a digital, consolidated system to record their work hours. So, the HR department can analyse absences for the different companies at a glance without having to export the records to Excel, as they did before. What’s more, the holiday management system has simplified this process by removing the need to print out and sign request forms manually. This has also saved a considerable amount of paper, in line with the group’s ‘zero paper’ goal.
Thanks to Kenjo, the Human Resources department has managed to consolidate people management across the group’s different companies, improve staff communication and centralise information on its employees. It has also been able to reduce time spent on manual, administrative tasks by up to 30%, improve absence management and be more sustainable by saving paper.
